What data we collect and why

Enquiry and quote requests

When you submit a quote request or contact form we collect your name, company name, email address, telephone number, and the details you provide about your labelling requirements. We use this information solely to respond to your enquiry and, if you become a customer, to fulfil your order. We do not use it for unsolicited marketing.

Legal basis: Legitimate interests (responding to a business enquiry) and, where a contract results, contractual necessity.

Uploaded artwork files

If you upload artwork files via the quote form, these are stored securely and used only to produce your labels. Files are deleted within 12 months of the enquiry closing if no order is placed.

Website analytics

We may collect anonymised data about how visitors use our website (pages visited, time on site, referral source) to help us improve the site. This data does not identify you personally. We will only do this with your consent, which you can manage via the cookie banner when you first visit.

Cookies

Our website uses cookies. See the Cookies section below for full details.

How long we keep your data

  • Enquiry data where no order is placed: up to 12 months from last contact.
  • Customer order data (invoices, artwork, correspondence): up to 7 years, as required by UK tax law.
  • Website analytics data: up to 26 months (industry standard for session-based analytics).

Who we share your data with

We do not sell or rent your personal data to third parties. We may share it with:

  • Courier and delivery companies — to fulfil your order (name and delivery address only).
  • Accountancy and invoicing software — for billing purposes.
  • IT service providers — who host or maintain our website and systems, under data processing agreements.

All third parties are required to handle your data in compliance with UK GDPR.

International transfers

Where any service provider is based outside the UK or EEA, we ensure appropriate safeguards are in place, such as standard contractual clauses approved by the ICO.

Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate data.
  • Erase your data ("right to be forgotten") where we have no lawful reason to retain it.
  • Object to processing based on legitimate interests.
  • Restrict processing in certain circumstances.
  • Data portability — receive your data in a commonly used format.
  • Withdraw consent at any time where we rely on consent as our legal basis.

To exercise any of these rights, contact us at sales@adcal-labels.co.uk. We will respond within one month. If you are not satisfied with our response, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
